1 .Server
i.24/7 fixed IP
ii.Reassign mail.teamxxx.com to that IP
2. Mailboxes
i.A mailbox will be created for each user.
ii.Users will access their email internally via a mail application installed on their machines,through the POP protocol.
iii.Users will access their email externally via a web application.
iv.A web-based management dashboard will enable the system administrator to specify storage quotas for each user.
v.User passwords are set and changed by the system administrator.
3. Archives – The archival classification is the responsibility of the archive manager at TEAM, which can be done using message rules.
i.Chronological Central Archive One or more special mailboxes will be created for the archive. Although all outbound and inbound emails will be saved to the archive, a rule can be created to exclude local emails (TEAM-to-TEAM). The archive mailbox will also be accessed via mail application, but through the IMAP protocol which allows emails to be kept on the server instead of being downloaded on the client. classification and searching of emails. 4. Shared Resources
i.The directory of email users will be stored on the server using OpenLDAP. This will allow users to access a shared address book via mail application.

5. Migration to new email system
i.The current email address of xxx @ xxx.com will be forwarded to a specified mailbox inside TEAM.
ii.The person accessing the specified mailbox will be responsible for routing the email to appropriate recipients.
6. Send/Receive Emails
i.Each user will be able to send and receive emails in his/her mailbox.
ii.Every external incoming/outgoing email will be automatically forwarded to the central archive.
iii.Internal emailing will be available even when the Internet is down.
7. Backup
i.A backup mechanism will be put in place to save the server configuration, the LDAP database and the mailboxes.
ii.Backup to secondary storage can be made to tape or to recordable CDs for geographical independence of the backup.
